Job Purpose

To efficiently collect, process, and manage driver debriefing and fleet-related information, ensuring all administrative and operational tasks are completed accurately, timeously, and in line with company and client requirements.

Key Responsibilities

Fleet Administration & Control

• Record and control empty pallets, diesel slips, and daily fleet paperwork
• Capture and update fleet data on Key Fleet systems
• Maintain and update load sheets and communicate loading progress
• Track outstanding loads and ensure proper load allocation
• Keep accurate pallet books and verify pallet quantities
• Compile and manage stationery orders
• Conduct tyre stock takes and arrange tyre ordering when required

Loading & Dispatch Support

• Assist with the loading of trucks
• Communicate with clients regarding truck departures and arrivals
• Monitor truck movements and arrange loads accordingly

Driver Debriefing

• Conduct driver debriefing and ensure all documentation meets client standards
• Issue POD books and trip sheets as required
• Maintain and monitor driver debriefing spreadsheets
• Support drivers with correct paperwork completion

Communication & Client Support

• Act as a communication link between drivers, clients, and Bloemfontein controllers
• Assist with resolving customer complaints
• Provide guidance and operational support to drivers

Compliance & Reporting

• Ensure compliance with company policies, SOPs, and safety regulations
• Compile and submit loading and fleet reports for management review

Minimum Requirements

Education

• Grade 12 / Matric Certificate

Experience

• Minimum 2 years’ experience in an administrative role within logistics or transport
• Willingness to work shifts, including extended hours when operationally required

Skills & Competencies

• Strong organisational and communication skills
• Basic to intermediate Excel proficiency
• Bilingual in English and Afrikaans
• Ability to multitask and perform under pressure
• Strong attention to detail and time management skills

Fleet Controllers are becoming increasingly critical in South Africa’s transport sector, especially with tighter compliance, pallet control losses, fuel accountability, and client SLA pressure. Candidates with strong admin discipline and hands-on fleet exposure are far more employable than those with theory-only experience.
